At Vtechify, we are committed to delivering high-quality digital marketing services and ensuring client satisfaction. This Refund Policy outlines the circumstances under which refunds may be provided and the process for requesting them.

General Refund Principles

Our Commitment

We stand behind the quality of our work and strive to exceed client expectations. If you are not satisfied with our services, we encourage you to contact us immediately so we can address your concerns.

Service-Based Nature

As a digital marketing agency providing professional services, our work involves time, expertise, and resources that cannot be “returned” in the traditional sense. Our refund policy reflects the unique nature of service-based businesses.

Refund Categories

1. Setup and Onboarding Fees

Non-Refundable

  • Initial setup fees
  • Account creation and configuration
  • Strategy development and planning
  • Research and analysis completed
  • Onboarding and training sessions

Reason: These services are immediately consumed and provide lasting value to your business.

2. Monthly Retainer Services

2.1 First Month Refund

  • 7-Day Satisfaction Guarantee: If you’re not satisfied within the first 7 days of service, you may request a full refund of the first month’s retainer
  • Refund request must be made in writing within 7 days of service commencement
  • Account setup and strategy work completed will be retained by the client

2.2 Ongoing Monthly Retainers

Non-Refundable After 7 Days

  • Monthly retainers are paid in advance for services to be performed
  • Once the service period begins (after the 7-day window), retainers are non-refundable
  • Services include ongoing work, monitoring, and availability that cannot be “undone”

3. Project-Based Services

3.1 Before Work Commences

  • Full refund available if requested before any work begins
  • Must be within 48 hours of contract signing

3.2 Work in Progress

  • Refund calculated based on percentage of work completed
  • Client receives all completed deliverables
  • Refund amount = Total project cost – (Completed work percentage × Total cost) – Setup fees

3.3 Completed Projects

Non-Refundable

  • Once final deliverables are provided and accepted
  • All completed work and intellectual property transfer to client

4. Advertising Spend Management

Non-Refundable

  • Third-party advertising costs (Google Ads, Facebook Ads, etc.)
  • Platform fees and charges
  • Management fees for completed advertising periods

Note: Advertising spend goes directly to platforms and cannot be refunded by Vtechify. Platform refund policies apply separately.

Circumstances for Refunds

Eligible Situations

  • Service Not Delivered: If we fail to provide agreed-upon services without valid reason
  • Early Termination by Vtechify: If we terminate the contract without cause
  • Technical Failures: If our technical errors prevent service delivery
  • Misrepresentation: If services delivered materially differ from what was promised

Non-Eligible Situations

  • Changes in client business priorities or budget
  • Dissatisfaction with results due to market conditions
  • Client failure to provide necessary access or information
  • Results affected by factors beyond our control
  • Cancellation due to client’s business closure or restructuring

Refund Process

Step 1: Contact Us

  • Include account details and reason for refund request
  • Provide supporting documentation if applicable

Step 2: Review Process

  • We will review your request within 3-5 business days
  • May request additional information or schedule a discussion
  • We’ll attempt to resolve issues before processing refunds

Step 3: Refund Decision

  • Written notification of our decision within 7 business days
  • If approved, refund timeline and amount will be specified
  • If denied, detailed explanation will be provided

Step 4: Processing

  • Approved refunds processed within 10-15 business days
  • Refunds issued to original payment method
  • Client will receive confirmation once processed

Partial Refunds

Calculation Method

For ongoing services, partial refunds are calculated as:

  • Daily Rate: Monthly fee ÷ 30 days
  • Refund Amount: Daily rate × unused days remaining
  • Minimum Charges: Setup work and completed deliverables are non-refundable

Work Product

  • Client retains all completed work and deliverables
  • Access to accounts and campaigns created remains with client
  • Strategy documents and research provided remain client property

Special Circumstances

Force Majeure

No refunds required for delays caused by circumstances beyond our control (natural disasters, government actions, platform outages, etc.).

Client Breach

No refunds if termination results from client breach of contract, non-payment, or violation of terms.

Mutual Agreement

Refund terms may be modified by mutual written agreement between parties.

Third-Party Tools and Platforms

Software Subscriptions

  • Tools purchased on client’s behalf follow vendor refund policies
  • Vtechify cannot refund third-party software costs
  • Annual subscriptions are particularly non-refundable

Platform Fees

  • Social media platform fees
  • Advertising platform charges
  • Analytics tool subscriptions

These follow respective platform policies and are outside Vtechify’s control.

Dispute Resolution

Internal Resolution

We encourage clients to work with us to resolve issues before seeking refunds. Often, concerns can be addressed through:

  • Service adjustments
  • Additional deliverables
  • Extended service periods
  • Strategy modifications

External Mediation

If internal resolution fails, disputes may be resolved through:

  • Professional mediation services
  • Industry arbitration
  • Legal proceedings as outlined in our Terms and Conditions
